How to use the weekly planner

  1. Change the Title if you like. It prints in the top-left corner.
  2. Set Start hour and End hour. The last row is the hour before the end hour, so 8 to 18 gives rows from 08:00 to 17:00.
  3. Pick a Slot length of 30 min or 1 hour, and choose whether the Week starts on Monday or Sunday.
  4. Optionally choose a date in Week of (optional — prints the dates), and decide whether you want a Notes column.
  5. Set Orientation and Paper size (A4 or US Letter), then press Print / Save as PDF above the preview.

What it does and when to use it

A paper week plan on the desk or wall shows the whole week at a glance. Use it for a study timetable, a shift rota, a class schedule or blocking out focus time at work. Print one blank and photocopy it, or print a dated copy each week.

For a month view, use the monthly calendar. To work out appointment times first, try the time slot generator, and for task lists that go with the week, the printable checklist maker.

How it works

The tool builds one table. The first column holds the times, right-aligned in small grey type. Seven day columns follow, each headed with a three-letter day name, and the dates below it when you chose a week. The notes column is a single 40 mm wide cell that runs from the first row to the last.

Row height is the page height minus 50 mm for the header and margins, divided by the number of rows, then rounded down to 0.1 mm. Page margins are 10 mm. Headings use a dark blue bar with white text.

Worked examples

The preset. 8 to 18 in 1-hour slots on A4 landscape gives 10 rows, 08:00 to 17:00, each 16 mm tall, with Mon to Sun across the top and a notes column.

A dated week in half-hour slots. Week of 7 October 2026 (a Wednesday), Monday first, 30-minute slots. The header reads “Week of 5 Oct” and the columns are dated 5 Oct to 11 Oct. There are 20 rows of 8 mm, starting 08:00, 08:30, 09:00.

A long day, Sunday first. Same date, 6 to 22, Sunday first, no notes column. The header reads “Week of 4 Oct”, and the 16 hourly rows are each 10 mm tall.

A typo in the hours. Start 18 and end 9 shows “The end hour must be after the start hour.”

Limits and tips

  • Half-hour slots over a long day make tight rows: 7 to 21 on US Letter portrait gives 28 rows of 8.1 mm. Use 1-hour slots or landscape if you write large.
  • Set the browser print scale to 100% and turn off headers and footers so the grid is not shrunk.
  • There is no colour picker; the header colour is fixed.

Frequently asked questions

Does the planner fit on one page?
Yes. The row height is worked out from the paper size and the number of rows, so the whole week fills one sheet. More rows simply means shorter rows, down to a minimum of 4 mm.
Do I need to enter an exact Monday for Week of?
No. Pick any date in the week you want. The tool moves back to the Monday (or Sunday, if the week starts on Sunday) and prints the seven dates from there.
Can I plan through the evening or overnight?
Through the evening, yes, up to an end hour of 24. Overnight is not possible, because the end hour must be later than the start hour on the same day.
Can I type my appointments into the planner before printing?
No. The page is a blank grid meant to be filled in by hand. To keep events in a digital calendar instead, make an .ics file with the iCal event generator.
