How to use the Duplicate Word Finder
- Paste your draft into Your text.
- Leave Ignore common words (the, and, of …) ticked to focus on meaningful words, or untick it to see everything that repeats.
- Keep Ignore case ticked so “Report” and “report” count together.
- Read the totals: Repeated words is how many different words repeat, and Extra occurrences is how many uses go beyond the first.
- Work down the Repeated words table, which starts with the most repeated word. Download it as CSV if you want a checklist.
What it does and when to use it
Repetition is one of the first things editors notice. A cover letter that says “passionate” three times, or a report where every paragraph starts with “additionally”, reads as careless even when the ideas are good. This tool lists only the words that appear two or more times, so you can decide which repeats are fine (names, key terms) and which to vary.
It suits essays, cover letters, product descriptions and short stories. For a quick check on a short paragraph, keep the common-word filter on. For a full count of every word including the ones used once, open the Word Frequency Analyzer. To see the vocabulary as a plain list, use the Unique Word Extractor. Once you know which words to cut, Remove Duplicate Words can delete accidental doubles such as “the the”.
How it works
The text is split into words: runs of letters and digits, with apostrophes and hyphens allowed inside. With Ignore case on, each word is lowercased. Words on the common-word list are skipped when that option is on. The remaining words are tallied, any word with a count of 1 is dropped, and the rest are sorted by count, then alphabetically. Your text stays in the browser.
Worked examples
The first two use “The report shows the report is late, and the team knows the team is busy.”
Default settings. Common words are skipped, so the table holds two rows: report | 2 and team | 2. Repeated words: 2, Extra occurrences: 2.
Common words included. With Ignore common words unticked, “the” leads the list: the | 4, followed by is, report and team with 2 each. Extra occurrences rises to 6.
Case matters. “Café café CAFÉ” with Ignore case unticked gives three different spellings, so the result is No word appears more than once. Tick Ignore case and café appears with a count of 3.
Limits and tips
- The common-word list is English only.
- Repeated names and technical terms are often correct; do not swap a precise word for a vague one just to avoid a repeat.
- To jump to each use of a word, search for it in Count Occurrences, which lists line and column positions.
