When is a debit note issued?
When the amount already invoiced turns out to be too low — the rate was understated, extra quantity was supplied, freight or handling was omitted, or a price revision was agreed after the invoice went out. The debit note increases the amount the customer owes.
Who issues a debit note, the buyer or the seller?
Both do, in different situations. A seller raises one to charge more against an earlier invoice. A buyer raises one to notify a supplier of goods returned or of an overcharge they expect to be credited. This tool prints either — just set the parties accordingly.
Must a debit note quote the original invoice?
Yes. Referencing the invoice number and date is what links the adjustment to the original transaction, which is what auditors and tax filings need. The reason for the debit should also be stated in one clear line.
