How to use PDF Watermark Tool

What a watermark does and does not do

A watermark marks provenance and intent. It tells a reader this is a draft, or that the copy was issued to a particular person, and it makes casual reuse of a screenshot obviously improper. What it does not do is protect the document: the text is a layer on top of the page, and anyone with a PDF editor can remove it in a minute. Treat it as a label, not a lock. If a document must not be redistributed, control who receives it rather than relying on a stamp.

Making it readable without ruining the document

The usual failure is opacity. Too dark and the text underneath is hard to read and the printed copy is a mess; too light and it may as well not be there. Somewhere between 10% and 25% grey is the practical band for a large diagonal stamp. A 45-degree angle across the page is conventional because it crosses the text block without following any line of it, and it survives being cropped. Keep the wording short — a single word at large size reads at a glance where a sentence becomes noise.

Per-recipient watermarking

The genuinely useful version is putting the recipient’s name and the date on each copy, so that a leaked document identifies its source. Law firms, investors’ data rooms and pre-release review copies all work this way, and the deterrent is social rather than technical — people behave differently when their own name is on every page. It only works if each copy is stamped individually before sending, which means doing it at distribution time rather than once at creation.

For the documents people actually watermark — contracts before signature, financial statements, unreleased reports, medical records — that is not a convenience but the whole reason to use a tool like this rather than an upload-based service.
